NRCHA Premier Events Coordinator

Key Responsibilities


Premier Event Planning & Administration

  • Serve as the show secretary for NRCHA Premier events
  • Assist in building detailed event schedules and staff time sheets for all NRCHA premier events.
  • Prepare and distribute entry packets, class information, and show materials.
  • Accept, process, and manage all entries, changes, substitutions, scratches, and draw updates.
  • Manage all stall reservations, assignments, and changes—including shavings and stall mat orders—in coordination with exhibitors and facility staff.
  • Support the staff member overseeing awards by assisting with inventory, preparation, and on-site distribution as needed.

 

Show Operations & On-Site Management

  • Serve as an on-site coordinator to ensure seamless execution of NRCHA premier events.
  • Work with practice pen personnel to provide rider lists, run orders, and billing information.
  • Oversee daily show office operations, including billing, scratches, add-ons, and customer service for exhibitors.
  • Work closely with NRCHA Director of Shows, facility personnel, and contracted staff to ensure all operational needs are met.
  • Coordinate cattle ordering logistics, delivery schedules, inventory counts, and communication with cattle suppliers.
  • Support announcers, scribes, and show office team to ensure accurate and timely flow of information.

 

Results, Payouts & Financial Reconciliation

  • Compile, verify, and enter show results with accuracy and timeliness.
  • Prepare and process event payouts and prize money distribution.
  • Assist with daily show tabs, invoices, and financial tracking throughout the event.
  • Complete post-show financial reconciliation, reporting, and wrap-up tasks.

 

Contracts, Budgets & Facility Coordination

  • Collaborate with the Director of Shows on facility contracts, vendor agreements, and event budgets.
  • Assist with drafting staff contracts during events.
  • Maintain positive working relationships with facilities, vendors, and suppliers.
  • Track rental equipment needs, deliveries, usage, and returns.

 

Communication & Member Support

  • Provide high-quality customer service to NRCHA members, exhibitors, and stakeholders before, during, and after events.
  • Distribute accurate and timely event updates, confirmations, and show information.
  • Support internal communication across departments to ensure alignment and preparedness.
  • Perform other related duties as assigned by the Executive Director or Director of Shows.


Qualifications


Required:

  • Minimum 1-2 years of experience in horse show operations, event management, or a related equestrian role.
  • Strong understanding of competitive horse show environments (cow horse, reining, cutting, all-around, etc.).
  • Exceptional organizational skills with the ability to manage multiple deadlines.
  • Proficiency or familiarity with event software platforms such as HorseShowForWindows, Access, or comparable systems.
  • Strong communication and customer-service mindset.
  • Ability to work long hours on-site during events, including weekends.
  • In-office presence required; this is not a remote position.

 

Preferred:

  • Experience working cow horse or Western performance horse events.
  • Experience with platforms such as CowHorsePlus and HubSpot.
  • Prior involvement with large-scale equestrian events.
  • Budgeting or financial tracking experience.

The National Reined Cow Horse Association (NRCHA) is seeking a detail-oriented, organized, and proactive Premier Event Coordinator to support the planning, execution, and on-site management of NRCHA's five premier events each year. This position plays a critical role in ensuring NRCHA events operate with excellence, efficiency, and professionalism. The Premier Event Coordinator works closely with the Director of Shows and other NRCHA staff to deliver high-quality experiences for members, competitors, and partners.
